CSV import instructions

The instructions for each column in the CSV upload are detailed in the table below. When completing the CSV file, please do not delete any unused columns.

Some example data to demonstrate the formatting required is shown in the CSV upload template. Please delete all blank rows and example data, leaving only the row headings before attempting the upload, as shown in the image below: 

Data field Instructions
Banner image (optional)

An image which is displayed alongside the learning opportunity. There are two ways to upload banner images: EITHER upload the image to your institution’s gallery, then add the image name with the file extension into the CSV, e.g. PG453Aviation.jpg – ensuring it matches exactly the file name of the uploaded image, with no spaces. OR upload the image to your institution’s Palette gallery, copy the link to the image and insert the link into the CSV.  

Please share original high-resolution jpeg or png image for resizing, maximum 3MB. Minimum dimensions to appear on desktop are 1317x879px

If left blank, a default image will be shown instead. Find out more about how to upload images to the gallery.

Identifier (required) A unique identifier of the MicroCred. Must be unique for all course offerings.If your institution already uses a system to assign codes to the concepts you want to identify, you can use these codes as identifiers. In cases where you have your own codes, make sure you keep them unique and consistent at all times.
Code University identifying course code. This can be the same as the identifier.
Mode (required)

The delivery mode ('mode of learning and assessment’ as described by EUROPASS). Select one from predefined list:

Online

On campus 

Hybrid


*Please note that hybrid Is not part of the EU vocabulary and therefore not valid for EUROPASS reporting.

ISCED-F Show number and category from list available at: https://circabc.europa.eu/ui/group/d14c857a-601d-438a-b878-4b4cebd0e10f/library/647db581-d636-4b37-af61-b5efac46d91fE.g.:  If using the predefined topics for categorisation, the ISCED-F 2013 classification code can be added here for reporting to EUROPASS only. This will not affect categorisation.
Topic (required if not using ISCED-F for categorisation, otherwise leave blank)

If not categorising by ISCED-F code, please list the topics for categorisation from the predefined list. This helps users to explore further specialisms within subject areas where there are a number of MicroCreds on offer. Please add as the ‘slug’, e.g. business-management or financial-mathematicsTo list multiple topics, separate with a pipe separator, with no space. E.g. item one|item two|item three|The pipe is very rarely used in grammar or descriptive text, so this is to avoid confusion with other separators like a comma or semicolon during import.

Title (required) The exact and official title of the micro-credential. Punctuation not important here, based on the heading style this will be capitalised. Maximum character limit: 255 (with spaces)
Call-to-action (required) Succinct call to action for button that links to MicroCred application, registration page or enquiry. Suggested CTAs:  Start Application  Apply Now  Find Out More
Link for call-to-action button (required) Link to the course information, application page or registration page on the institution website.Where possible, this link should take the learner to the next step in the journey e.g., a course information page with a clear next step to apply or enquire, or an application form. This is also the public URL of the learning opportunity that will be shared with EUROPASS.
Price Details(optional – but must enter negative value if unknown) Fees for MicroCred. This is a free text field. State the price of the MicroCred without the € sign.  If the price is TBC, enter any negative value e.g. -55 and TBC will appear on the course information page.
Subsidised Price  (optional) If a fee subsidy is available write the subsidised price without the currency. e.g. 450
Tag (optional) If a fee subsidy is applicable, add: subsidised OR springboard (if the offering is funded through Springboard. if adding multiple tags, separate them with a comma: subsidised, springboard
Next Intake (required) The month and year of the next course intake. (This will appear on the platform as month and year e.g., November 2023). Format: YYYY/MM
NFQ Level (required) The MicroCred NFQ Level (1-10). Additional guidance: https://www.qqi.ie/what-we-do/the-qualifications-system/national-framework-of-qualifications
ECTS Credit Points (required) The number of credit points assigned to the MicroCred, following the ECTS credit system.
Duration (optional – but must enter negative value if unknown) The maximum duration the MicroCred should take in weeks, shown as a number. More details of the learning schedule can be shown in other fields, or the partner course landing page. If duration is unknown, enter a negative value to show TBC on the course information page, e.g. -45
Description (required)

A description of the MicroCred to feature on the course information page under the title. Suggested content in the points below is not mandatory; they are suggestions for information that could be included here:

• What is the MicroCred purpose?

•Who should apply? (Current or aspiring profession(s), interests)

•Overview of MicroCred content

•How will participants learn?

•On completion, what will participants be able to do or understand?

•Recommended word limit: 100-200 words

Additional Note - ‘What you’ll learn’ (required)

An additional free text note containing further information about the MicroCred content. Describe in more detail or list the topics that participants will cover during the course. This will be shown as two columns, with a bullet point per sentence. Either no formatting or add as an unordered list:

Recommended word limit: 175-200 words

Entry Requirements(required) A free text note (no formatting) detailing specific entry requirements or prerequisites of individuals for which this opportunity is designed. Acknowledgement of Recognition of Prior Learning where applicable with details. Or signpost to get in touch with contact details provided in contact field. If sharing additional fee, funding or discount information, please add here. Recommended word limit: 175-200 words
‘Contact us’ details(required) Named contact in partner institution for course or application-related queries. This is a free text box. Please write a couple of sentences explaining who learners can contact if they have queries about the MicroCred, phone number, email or both. If there is a separate contact for employers about in-house delivery or bespoke options, please add in this section too. Recommended word limit: 100-150 words.
Applications Opening (optional)

The column in the csv is called startdate                          

To use this optional field, add a column called startdate to the csv and the date applications open in YYYY-MM-DD format. 

You may have to change this in the excel or numbers toolbar by selecting the dropdown next to Date and going to More Number Formats. 


This field is intended to be used only if applications are not yet open for a micro-credential that is launching in future.

If you add an application deadline, this field will be hidden.

Application Deadline (optional)

The date of the application deadline for the course.  Format: YYYY-MM-DD


Ensure the date is in the correct format for Application Deadline. You may have to change this in the toolbar by selecting the dropdown next to Date and going to More Number Formats. 


Once you've selected the 2023-03-09 format press OK. Leave blank if unknown.


Application deadline can optionally be displayed as "Month YYYY". This is in cases where university partners have not yet confirmed an exact application date. To use this option for all or selected microcredentials within a csv upload, please add an additional column to your csv import with the heading ' application_deadline_text ' and insert the date as YYYY/MM.

Video (optional) Course-specific promotional video provided by partners. Provide Vimeo or YouTube (or alternative) link to embed in page. E.g.: https://www.youtube.com/embed/DbZALsDfLuU
Video title (optional) Title for the course-specific video if used. No punctuation required, this will be capitalised according to the MicroCreds brand guidelines. Recommended character limit: 100 (with spaces)
Course leader / Academic lead Name(optional) If you’re not providing this information, please leave blank.
Course leader / Academic lead profile(Required if Course Leader name is provided) Information about the MicroCred course leader (academic lead) including but not limited to, qualifications, experience, professional background, and relevant skills and expertise, without formatting.Recommended word limit: 100-150 words
Course leader image (optional) A colour headshot which is displayed alongside course leader (academic lead) profile.Image size: 573 x 678px (can be slightly larger but for page load speed ideally as close to this as possible).Add image name with file extension after uploading to gallery, or add link to image in gallery once uploaded.
Information specific to HR and organisations(Optional)

A field detailing marketing messaging that is relevant to HR, managers and organisations. This could include bespoke or on-site delivery options for companies or teams with a prompt to get in touch with the named contact in the next section. This can now use basic HTML formatting as an unordered list, e.g: <ul><li>item one</li><li>item two</li><li>item three</li></ul>which will appear as:

Recommended word limit: 100-150 words

Assessment (optional) How will learners be assessed? A free text field to succinctly describe how learners will be assessed. Recommended word limit: 50 words
Learning Outcomes (optional) A free text note about the expected learning outcomes of the MicroCred.No word limit, recommended to keep learning outcomes as succinct as possible. Add each outcome in the field as a single sentence followed by a ‘pipe’ separator ( | ) between each sentence.E.g. item one|item two|item three|The pipe is very rarely used in grammar or descriptive text, so this is to avoid confusion with other separators like a comma or semicolon during import.
Course Outcomes

Insert option from agreed statement (with custom info relevant the microcredential):

STATEMENT 1: On successful completion of this micro-credential, you will receive credits as per the European Credit and Transfer System. These credits are recognised by the awarding institution as credits aligned to learning completed at (insert: further education/ undergraduate/ postgraduate) level. 


Or


STATEMENT 2: On successful completion of this micro-credential, you will be awarded a (insert category of award i.e. special purpose, supplementary, minor) at level Y on the Irish NFQ.

Schedule information / Intensity of study (optional) Corresponds to ‘Schedule Information’ in EUROPASS reporting. This a free text field. Provide detailed information about the timetable or schedule, or if these details are not yet known, the anticipated intensity of study. This may include weekly schedules (e.g., 'Every Monday, 4pm', but may also include the overall schedule for the course, (e.g., October: lectures, November: group-work, December: break, January: assessment).  Recommended word limit: up to 100 words
Testimonial (optional) Free text field. A one-two sentence testimonial that could be course-specific, or generic to a MicroCred subject area, or all MicroCreds from a particular partner. Ideally also provide a first name and role.  Recommended word limit: 10-20 words
Learning Schedule The learning schedule. EUROPASS ONLY
Provided By (required) Europass Organisation Identifier. This is a free text field. Name the organisation providing or directing the learning opportunity. In the case of, e.g., joint qualifications, there may be several organisations directing the learning opportunity.
Supplementary Doc A public web document containing additional documentation about the MicroCred, for example a pdf brochure.
